Receptionist in Wausau, WI

Job description 

  • Front desk management: Greeting customers, directing them to the appropriate person, and maintaining a tidy reception area

  • Communication: Answering phone calls and forwarding them to the appropriate person on a multi-line phone system. This also includes taking detailed messages. 

  • Scheduling & Coordination: Booking appointments, managing the weekly schedule and loaner vehicle schedule. 

  • Administrative Support: Performing clerical tasks such as filing, scanning, photocopying and data entry. 

  • Office & Shop Maintenance: Monitoring and ordering supplies as needed. This also includes monitoring the cleanliness of the office. 

Required Skills and Qualifications 

  • Interpersonal Skills: A friendly, professional, and welcoming demeanor, with the ability to handle upset customers calmly. 

  • Organization:  Excellent time management skills for handling phone calls, emails, and in-person inquiries. 

  • Technology proficiency:  Experience with Outlook, Word, Excel, Google workspace, and office equipment like printers and scanners. 

  • Multitasking: Ability to handle multiple tasks simultaneously, such as answering phones while checking customers in and out. This also includes handling required payments in cash, check, and card.  

  • Education/Experience: High school diploma or equivalent is required.  Any experience is welcome but not required.
